I have a business requirement for multiple recipients on an email notification from a workflow. The recipients are to be selected from a multiple select field in the workflow instantiation window. I have been unsuccessful in passing the array of recipients to the email. I am using a solutions workflow and the iwmailbody.tpl and iwmailheader.tpl files in TS 5.5.2 on Windows.

I created a roles file and defined it inside template_script tags in the Workflow.

"$roles/ecomm-email.uid");

In the Tag section I defined the multiple select drop down which appears correctly in the workflow instantiation window.

I then defined $addresses

and inserted the variable in the external email task.

In the solutions email body file, I defined $addresses and output it to see what values I was getting, unfortunately I get nothing returned.

my $addresses = iwpt_dcr_value('dcr.workflowinformation.task[0].variables.variable[0]@value');

Any assistance would be greatly appreciated.

The solutions email only sends one email, which is a severe limitation in my opinion. If you want it to send multiple emails, you have to create a wrapper that calls it multiple times.

I think you should be trying to get the workflow variable as follows:

my $wf = new TeamSite::WFworkflow($wfID);
$uDeployEnv = $wf->GetVariable('addresses');

It looks like you are trying to get the values like they are in a DCR. Unless I have misunderstood it, I think this way should be work.

I tried using the code you suggested, but no luck. I have successfully used the code I posted in other workflows to capture single value variables. The problem seems to be in passing multiple values.

Thanks for the info. I had hoped to find a solution where the recipients are all aware of the distribution list. Do you think it's possible to pass the list of names to include in the body of the email. Something like - This message has been sent to the following recipients: 'list selected in workflow'?

Where are you using that code? In an external task?
Can you attach the script where you are trying to find the workflow variable so someone may be able to figure it out for you?

The reason that code didn't work is because he thought you had created a workflow variable, but you created a task variable. Use his code, but with the task object, not the workflow object:

my $task = WFtask->new($taskID);
my $people = $task->GetVariable('recipients');

Replace recipients with wnatever you called your variable in your task. You get the picture...

Absolutely you can embed whatever you like into the body of the email. I've got mine set up to not only send emails to multiple recipients, but to also send different info in the body of each email to multiple recipients. The solutions email script is very limited in what it does.

I'm still not having any luck. I put the following code into my version of wft/solutions/author_iwmailbody.tpl

use TeamSite::WFtask;
use TeamSite::WFworkflow;

my ($jobID,$taskID) = (shift, shift, shift);

my $task = WFtask->new($taskID);
my $people=$task->GetVariable('reviewer');

I kept getting an error -
Could not process template: e:/iw-home/local/config/wft/solutions/ecomm_confirm_iwmailbody.tpl
in the email sent by the workflow.

I change the third line to

my $task = new TeamSite::WFtask($taskID);

and did not get an error, however, I also did not get any values.

This isn't going to work in your tpl file:

my ($jobID,$taskID) = (shift, shift, shift);

The tpl file isn't the externaltask script and so it is being passed nothing. You have to get all your data from the XML file that iw_solution_email.ipl creates as part of the process, which is stored here: $IWHOME/tmp/task_output$currenttaskid.xml.

Here's an example of getting the task ID:

my $default_id = iwpt_dcr_value('dcr.workflowinformation.task[0]@id');

Try putting a little debugging code in your tpl file. Create a debug output file and print the value of $people into it and see if that variable is being set properly. Also make sure you're using the Task ID of the task where you set the variable (your externaltask) and not the successor task's ID. Look at your XML file that contains the data and be sure you're referencing the correct task.

Thank You, That worked!!

I added the following to the worflow.

my $address_list = "";

}

Then passed the following variable in the external email task.

__INSERT__("$address_list");

In the author_iwmailbody.tpl, I used:
my $email0=iwpt_dcr_value('dcr.workflowinformation.task[0].variables.variable[0]@value');
my $email1=iwpt_dcr_value('dcr.workflowinformation.task[0].variables.variable[1]@value');

to get the values.
