Creating document with process variables content.

Hi All,

I have a requirement of sending an e-mail from a workflow and then storing the content of that email in a document that gets attached to the workflow atomatically.

I am able to send an e-mail through SMTP auto activity but how can i make a new documnet with the contents of that email.

And the docuemnt shd also get attached to the wrkflow or should be stored at some specific location from where it can be accessed.

Hi,

It's not clear for me why you need to save e-mail content if you (your process) are forming this content from process variables (I think so)? In fact, just as you formed the content for that e-mail, just as well you can, for example with mapping, create that content and store it in a process package. And store that package to any folder of the repository.

Save package to a folder.

You can do that with few ways: with dql query or with Process Data Mapping activity. Just map the folder path to r_folder_path attribute.

Thanks for you suggestion.

Our requirement is that during a workflow the users shd be able to send email.and other users should be able to refer to that email at any point of time.

As you mentioned that i can map the content to a process package.But as far as i understand we can have only one docuemnt in process package .

What if other user would also send an email here.?

So, is there a way by which i can create a document with the email content and store it as an attachment in the workflow.

can you please help me in it.

P.S.: I am new to Documentum so a detailed description would be very helful.

Let me some clarify. You want to save the Subject and the Body of the e-mail? And show them to other users?

May be it would be good for you to save subj and body to some process variables? Not to document?

For example, you can create structured data type with two repeatable attributes,subject and body.

Place two activities:

Map some data for subject and body (let's assume that my TextField1 == subject and TextFiedl2 == body). Please note - any new subject and body must mapped to Last index of the repeating attributes:

Make two parameters in SMTP acivity

and map to them process variables (from Last index):

So, you will have saved emails content and you can show them to any user.

Thanks a lot konstantin,

But we want to crate a document with a unique id that we would generate when the email is sent.

So whenevre a user sends an email during a workflow then a document with email details should be created with a unique id.

So that whenever a reply to that emial is received then the user would be able to link that reply to that email document searching on the basis of that id.

Please guide me how could this be achieved?

In this case you can add some additional attribute 'id' to the sdt.

To show contents can be the 'Comment History' control.

Don't forget this is just one possible solution. You also can have a separate intance of a process package or a document for each such e-mail.
