D2 email on system events

Hi,

Within our D2 applications we want to have a few date monitors.

So when the retention date from a document has reached, the system needs to inform the functional admin.

I can configure all kind of user events and based on a user event the system can send a mail.

But for my archived documents there is no user event.

Is it possible to send a notification on system events? ex. When a retention date has reached?

In my opinion there are two alternatives:

- create a custom job to monitor

- create a worklow for all documents

You could try to create a Document set where a_retention_date >= 'Date of the day' and use the mailing list configuration element.

IMHO i will use a lifecycle batch. When the date is reached, you change the state of the document (perhaps a fake state) and in the lifecycle you send an email to the specific group ! Does it make sense for you ?

Thank you for the quick reply. It was a good possibility but unfortunately we already use a lifecycle for these documents.

And we need to know these states. So we can't really work with dummy states.

Is there another D2 solution to achieve this?

Thanks, this is a working solution. I now only have the challenge to use dynamic mailing addresses.

Maybe it's a good suggestion for in the future to make subscriptions also "system event" based.

Now subscriptions are user event based and mailing lists can be made sytem even based.

Put the email address in a specific metadata in your document. The email address is based on what ?

Thanks, that was the solution that I was trying now. But we have a registered table where the functional admin can maintain a list of BU's and their contact mail adress. Now I have to match that mail address from the registered table in the correct D2 mail configuration. It's a fun challenge

Try with a taxonomy ... in one hand the BU and in the second the email address. It must work fine !
