Hi,

I have a situation where a user submits a file from the TS interface (in the data folder). It kicks off a workflow that first attaches additional files. The idea is to send this to a group task, but right before the group task, I want to email all users in the group task to say that there is a job awaiting them.

I would like to use iwsend_mail.ipl with HTML turned on.

- can all this be done? (external task I presume?)
- if so, how does the the email external task "know" which users are attached to the external task since the email notification comes before the external task?

- lastly, if someone could please speak to this in terms of workflow builder that would be ideal.

Yes, iwsend_mail.ipl would be a script specified for the externaltask command

Presumably you mean which users are attached to the grouptask not the externaltask.
The users associated with the grouptask are specified in a sharedby element - you need to use the same code that was used for generating the sharedby element to generate a string that you can use for the mail_to or mail_cc task variable for the iwsend_mail.ipl externaltask.
I believe there's documentation somewhere for iwsend_mail.ipl - but failing finding a formal document, look at the source (it's reasonably well commented I believe) to find the list of task-level variables you can use to specify aspects of its operation.

In a word, UGH. I believe the 'mailtask' in WFB can be configured to use either iwsend_servelet_mail.ipl (default?) or iwsend_mail.ipl - and again, you would need to set up the task level variables for the task. The ugly part of doing this in WFB is that you need to somehow break into providing the Perl code to specify the creation of the value to use for the task variable and then specify that variable for the value. The last part isn't difficult as I recall, but the first part I remember as being rather barbaric as far as UIs are concerned.
