Keep Email replies in Notes

We use a simple form in our process to request information from the originator from any stage within the process.   The form basically is just a memo field that we insert into an email template with the originator and process user as the to: and cc: persons and life is good.

 

But for the reply, it just goes to the person's email who originated the request (from Metastorm).  We'd really love to be able to capture the response in the notes so we had a record of the info - ie have the reply go to Metastorm as well.

 

I'm sure it's theoretically possible but does anyone have a solution since I really don't know where to start.

What you need is a component called an "Email Listener".

 

This is designed to listen to one or more email accounts and read the emails that are received.  Based on the listener finding (or not finding) a reference keyword with an id (e.g.. REF:REQ0001) in the body or the subject of an email it can then either take an action on that folder or create a new folder on a given process whilst pushing in the content from the email into fields configured on a specialized "Email received" form.

 

You can build your own integration with the ECL.NET but OpenText and a number of 3rd party partners also supply them for small license fee (including ourselves - ProcessTrack  based in the UK)

 

A few other partners that I know who offer them are:

- AuraQ (UK based)

- BRDee (UK based)

 

I suspect Jerome's team at ProcessMapping in Australia will also keep one in their kit bag.

 

I'm sure there are other partners out there too so this is just a short list.
