MediaBin becoming a potty! tips needed

We opened our production mediabin to our internal users, trained them, etc - but with over 35 users we are finding numerous issues when uploading files

1) users are using different naming conventions per department for the insertion task metadata forms we created

2) users are not adding/associating the associated release forms, which we demanded they do (we need to have accountability for everything into mediabin)

whats the best way to handle this? my manager suggested some kind of teamsite workflow w/ a review step?

i.e. creative person attaches files submits a workflow > attaches files and release forms > some1 reviews/rejects > if approved add the asset/release form/metadata into production mediabin

Well, it is possible to make adding metadata fields mandatory on insertion via runtime parameters.

Also, for a moment putting on my mean person hat, you could write a script and schedule it to run once a day that would delete any assets that do not conform to set policies (e.g., for which the necessary fields do not exist). Nasty but perhaps it will get the point across...

You could make an upload area that acts as a staging area and only allow "legal" images to make their way further into MediaBin...

Just some thoughts of fthe top of my head.

as for this staging area - this sounds much better, what do u recommend? is this in the mediabin docs? do you mean a hot folder? is it easy to allow "legal" images to make their way further into MediaBin?

You have an interesting predicament because you are trying to use MediaBin to have a business workflow. Unofrtunately, MediaBin lacks workflow and business rule management. We have the same problem in our system and we've had to make other solutions outside of MediaBin which utilize Microsoft SharePoint, file shares, and custom C# tools that we've created ourselves.

I wish MediaBin had workflow management. Perhaps workflow can be facilitated by another Interwoven product?

Yes. We have leveraged TeamSite workflow engine to provide such functionality to clients.

Is TeamSite something that can be utilized without all the additional functionality of TeamSite? We've reviewed TeamSite and it's not something we are interested in.

While you cannot take away the functionality you can certainly hide it from the users.

Yes you should be able to do that.

i looked thru the mediabin docs and didnt see anything about mediabin integration w/ ts workflow. could u point me in the right direction? are there examples?

It is custom work. Not OOTB. That is why it is not documented. You have to contact your ESE to have it done for you.

I am digging! I know that we have had demos but I am finding out if they are readily available.
