Email Non-TS Reviewer
RyanS
I remember one of the big things about TS5 was that a workflow could now be emailed to a reviewer that wasn't in TeamSite and they could click a link to approve or reject without having to login.
I did some looking and haven't been able to find an example anywhere (the PDFs seem to be lacking). Unfortunately I don't have a ton of time to play with this, so I've been using WorkflowBuilder (but am savvy enough to get into the code if need be).
Does anyone know where I can go to find an example of this? Much appreciated!

There's an obscure reference to the casual contributor interface starting on page 117 of the 5.5.2 Admin Guide. You'll find the whopping 4 lines of documentation about using this in an email message on page 119, at the end of the section.
From what I'm told, you need to purchase email contributor licenses, which are pretty cheap. Also, opposed to what we were led to believe prior to this being released, you can't have someone without access to your TeamSite server be a casual contributor. It has to be someone who can access TeamSite. I'm sure there are more details one of the Interwoven guys can add or correct me on. As you can see, I am rather opinionated about the limitations of this feature.

Thanks for the quick response Smitty... we have a zillion licenses... we're good in that aspect. Currently the people I need to review some workflows are in Teamsite, so that's ok... just thinking ahead.
Is that functionality a 5.5 feature only? I thought it was 5.0, but I've been known to be wrong before!

The Casual Contributor Interface (CCI) URLs were available in 5.0, but they have been refined a bit in 5.5.2. Check out
TechNote 48945
for more information on the [5.5.2] CCI URL's.
I'm not sure where the impression that these could be used without being a valid / licensed TeamSite user came from - I don't believe that was ever intended. There are, I believe, "reviewer" or "approver" licenses on the sales sheet specifically for people whose only interaction with TeamSite would be through this mechanism (I'm not sure of the exact details as I've never had to set up anything like that at a customer site)

Just to clarify, it was our regional rep who led us to believe that people outside of the company with no access to TeamSite would be able to approve/reject tasks through an email interface in 5.5.x. This would be a very attractive feature for us, as our production servers are hosted by a 3rd party, and we often need to communicate with that 3rd party during workflow. I don't believe it would be impossible for Interwoven to develop this type of interface, and I hope they will in the future.

To some degree it was there in 4.5 when the user did not have to have access into Teamsite to preview a page. In 5.0 to simply preview required a user ID and password (what an uproar that raised with our reviewer community!). It seems like that should be a configurable option as the SCE is (where you can turn it on and off for different branches).

ghoti- ? when you say
"The Casual Contributor Interface (CCI) URLs were available in 5.0, but they have been refined a bit in 5.5.2. Check out TechNote 48945 for more information on the [5.5.2] CCI URL's. " could you elaborate a little where to find info in the 5.0.1 (Solaris) documentation for how to include CCI URLs in workflow emails ? the only mention of them I see in ts.500.admin.pdf is within the generated pages themselves (which, btw, most of my clients have usually seen as somewhat of a security risk by just providing these), but not within workflow emails- searching ts.500.wf.pdf for "casual" finds no hits at all-
if it's not greatly documented how to do this in 5.0, how about the docs for 5.5.2 (we upgrade sometime soon) ?
thanks

Do a find for "/sce?vpath=" in your iwsend_mail.ipl file... you'll see how to put one of those type links in your workflow emails. Definately pay attention to the TechNote list ghoti mentioned -- some of the CCI URLs don't work in 5.0.
Hope that helps,
maureen

In one of my previous posts in this thread, I stated:

These page numbers represent the Solaris version of the manual.
