I have recently been asked to quote on a survey and reporting job.
We are on top of the survey creation and data collection side. However, i do need some help with the report generation.
Here is the brief for the client - please contact me should anyone be able to assist me and please can you provide a detailed indication of the costs involved:
1 REPORTING
Automatic Reports
1. Automatic .pdf reports will be created once a week on a Friday and once a month on the first day of the month.
2. The weekly reports will contain feedback from guests who departed during the previous week and the monthly reports will contain feedback from guests who departed during the previous month.
a. The reports will be structured according to the guest?s departure date, this means that if the guest?s departure date was 1 April 2004, his response will fall within the month of April.
3. The following automatic reports will be generated:
a. overall group report
b. report per brand (Hotel, Bush lodge, Resort, Timeshare)
c. a report for each property
4. Client will provide a list of email addresses of the stakeholder/s who will receive the reports.
5. The reports will be divided into sections as per the questionnaires.
a. The first section will contain the questions generic to all properties.
b. The second section will contain the questions generic to each brand. These will be grouped by brand on the group report.
c. The third section will contain the promotional questions (if any) of the time period reflected in the report, grouped by property.
6. The answer to each question will be represented in a text (percentage) and graphical format using a pie chart.
7. Totals for the following sections will also be displayed as a pie chart:
a. Group
b. Question generic to all properties
c. Each Brand
d. Promotional questions
8. The number of guests who responded against the number of guests who received the mailer to be displayed as the percentage respondents.
Reporting Tool
1. Client requires a reporting tool to be able to develop their own meaningful management reports.
2. The reporting tool will only display data and no data will be passed back to the CLIENT database.
3. There will be two levels of access to the reporting tool, and each level can have multiple logins:
a. Head Office level with unlimited access
b. Property level access
4. In the reporting tool the users will be able to select the date range on which to report
a. The report will reflect feedback received from guests whose stay fell within the date range.
5. The user will select one or more of the following levels to report on:
a. Group
i. All of the properties within the Client group
ii. Note: If the user selects to report on group level he will not be able to select any of the other levels as it automatically includes all the properties.
b. Country ? Users can select one or more countries to report on
i. South Africa
ii. Namibia
iii. Ghana
iv. Madagascar
c. Brand? Users can select one or more brands to report on:
i. Hotel
ii. Bush Lodge
iii. Resort
iv. Time Share
d. Properties? Users can select one or more properties to report on
6. The user can either report on comments or on questions.
a. If he chooses to report on comments all the comments for the criteria he selected will be listed as well as:
i. The name of the guest
ii. His period of stay
iii. The property he stayed at
7. The user can select specific questions, or all questions within the following sections:
a. Generic questions for all the properties
b. Brand specific question for each brand
c. Promotional questions
8. The format of the report will be the same as for the automatic report:
a. It will be displayed on the website and be available for download in .pdf format.
b. The results will be displayed in text (percentage) and graphical format using pie charts.
c. Totals for the following sections will also be displayed as a pie chart:
i. Group
ii. Question generic to al properties
iii. Each Brand
iv. Promotional questions
d. The number of guests who responded against the number of guests who received the mailer to be displayed as the percentage respondents.

Lots of the functionality you mention, like the scheduling and security of BIRT reports, is already available in the product called iServer Express and will easily integrate with your application.
