hiddden projects/archiving and undo function

Hi there Can anybody tell me whether one can make a project hidden? So that after the projects ends, it can be moved to some kind of an archive and will not be seen anymore but still can be found within the search function. Or is there a different solution?Also, what happens with deleted items? Any chance to recover them? Thanks for your inputSandro Randone

This is something we have been asking for at TransCanada as well. The permissions based suggested offered here doesn't really address the issue because it requires effort to modify all the permissions, eliminating all the people from the Participants list results in losing a lot of valuable information about the project, from who was involved, to want roles they played. The Projects object should have a lifecycle attribute that allows them to be categorized as ( example: Proposal, Pending, Active, Completed, Cancelled , etc. ). then the interface should have some options to display some or all of those categories of project, customizable by person, or possibly automatically setup as corresponding Tabs in the Personal Workspace Projects view.The Co-odinator should be able to edit that attribute. This would provide management capability that would help in organizing and managing a portfolio of projects over time.Formark software, the Ottawa based Livelink Affinity partner makes a Project Management tool that has an archive feature, or at least they used to a year ago. I don't know if it exists for the current version of Livelink.As for an Undelete option, TransCanada has been asking for this for a long time too. Recovering a single deleted document for a user is very painful, especially if you use blob storage for documents. Open Text Professional Services has created an Undelete function for some customers. It provides a functionality similar to the Recycle bin in Windows. Unfortunately, it only works on documents, not on all Livelink objects. If the user deletes a Task, the Undelete function is not aware of it and cannot recover the item. It also doesn't do automatic 'real' deletes after a specified time period, the Admin account must go an delete things permanently or the database will fill up fast(er).I think all objects in Livelink should have a 'Deleted' attribute. If an object is deleted, it no longer shows up in the interface by default, but can be made visible in the interface again by selecting a 'Show deleted items' option, at which point they could be undeleted. Normal Permissions would still apply, and the advantage is that items stay in the origianl position, thus remaining in context at all times. This makes it easier to understand. An automatic Admin process could run to do a 'real' delete of the items according to a schedule or by invocation of the Admin user. A variation of the process might even do a transfer to tape or CD-ROM of all deleted items, to preserve an audit trail and recoverablity without making demands on database space.TO get these features in Livelink, enough customers must specifically ask for them and state that they are a high priority. Apparently that hasn't happened yet.So if, like me, you want these things as part of Livelink, send a note, phone, email page or otherwise garb the attention of your sales rep. Tell them you vote YES on the need for Livelink Undelete features on all objects, and YES for Project Categorization and Project visibility by Project Category in the interface.Refer them to this discussion items if you like. Or add your reply to this item with a YES vote.

The first time I got a call from a user that a Project had been deleted and he wanted to know if I could restore it, I was dumbfounded at the steps necessary to recover the file. This is a feature I look forward to seeing in a future version.

THE US Joint Forces Command paid for PS to develop an Archive function that works very well for us. We can archive off projects, tasks, and task lists.I also had one of my colleagues create a Recycle Bin. We, too, have had users accidentally delete items from Livelink and the task to recover these items is not trivial. It requires completely building another system with a dump of the database prior to the deletion, then pulling the deleted items out. The problem, then would be that they will now have different nodeIDs once they are put back into production. We have a Recycle Bin that allows you to delete any Livelink object then you can undelete it. Nice feature! Livelink should definitely incorporate this as a core feature!
