Hi,
Is there a way to retrieve all the open workflow assignments and approve them using EWS?
Thanks,
Kapil
Hi, Kapil.
You can use the WorkflowService's ListWorkItems method to retrieve all of the Workflow steps assigned to the current user. You can then use the CompleteWorkItem method to send it on.
Similarly, the ListProcesses/GetListProcessesResults methods can be used to retrieve all of the Workflows managed/initiated by the current user.
Scott
Thanks Scott. But, I was not able to invoke ListWorkItems operation successfully because I am not sure what is PageHandleId and how to get it.
<urn1:pageHandle> <urn2:FinalPage>1</urn2:FinalPage> <urn2:NumberOfPages>1</urn2:NumberOfPages> <urn2:PageHandleID>1</urn2:PageHandleID> <urn2:PageNumber>1</urn2:PageNumber> <urn2:PageSize>1</urn2:PageSize> </urn1:pageHandle>
Can you please elaborate?
You don't need to specify a PageHandleID for the initial request. Just specify the PageSize you want and set PageNumber to 1.
For subsequent requests (if required) you can pass in the entire PageHandle from WorkItemResult as is.
Thanks Scott. Is there a way to get all open requests for all the users?
No, not that I know of...
oh ok. I might have to get these open requests from the table directly somehow, I am really not sure at the moment. Do you know which is the best forum to ask this question?
I'm sure there's a way to use a LiveReport or something like that to query the appropriate tables. Check out the Open Text Workflows Discussion.
You should ask workflow forum.
There is a view called webactivework which has what you arelooking for but I am unsure how you propose signing off assignments that do notbelong to the calling user.
Then what was the reason for the workflow to start with?

Thanks Scott, Appu.
Appu,
To answer you question-
We have an existing process where we pick up all open requests (e.g. access requests)and send them to the responsible users by email which has "Approve" and "Reject" button. The users click either one of those buttons and it sends an email back to us. We look at the email and decide what action user wants to do and complete the request in the actual application.
We are trying to see if we can build similar interface for wokflow assignments. We will pick up all the open assignments and send it to the responsible users and wait for their approval or rejection email. Once we get that, we are going to complete the workflow item using EWS.
A couple of suggestions.
Use livelink workflow when there is really a need for it.for one workflows does cause some transactional overhead so if you can limit what you don't need you'll be the wiser.
Livelink's workflow has ties into another module that is called elink.with elink you can complete workflow assignments form email client. The approve/reject buttons will be in the email the user receives.it needs you to configure an email pop server to receive email again given free from OT.It takes a little bit to configure it
Even without this the livelink workflow allows prospective users to receive the assignment as email,so I do not understand why your process has to monitor and send it via email. The only thing OT does not offer out of the box is you cannot subscribe potential workflow assignees to recive assignments
Take a look at wf design 1,2,3 books and it should be very helpful, take a look at sample maps in the workflow discussions area and that will help.
I think thru EWS you are proabaly trying to mimic an inefficient process that could use some help.
