How to get project and document name associated with workflow

Hi, I am trying to get a list of workflows for a project that are more than 14 days old. I can get a list of workflows that are older than 14 days, but I can't seem to get to get the sql (for sql server) query right to link in the project name and document name associated with the workflow. Can someone help me out with how the tables need to be joined to one another to accomplish this? Thank you, Josephine

I believe that when you say project,it means the subtype of project or 202(from memory pls check),if you are calling projects as a folder in livelink where some people do some work then my reply may not exactly cut it.First thing to remember is any object withing a project will have the same ownerid,which is usually the negative dataid of the project dataid itself.The coordinator of the project will be the same id in kuaf as well.So pretty much you can find all objects in dtree by using that relation.However workflows are instances of a dtree map subtype object in various tables.So in one of the tables if you know your workid,subworkid combination you can find which map in dtree that generated it.With this info and if you find that maphas the same ownerid of a project then you may be able to do this.This may not be true a workflow map can be stored almost anywhere in livelink,as OT does not insist the project object albeit be created with workflow,discussions et al.The schema,schema companion and the LR course are very goodcourses that show you may relations.I enclose a link where I was trying to show somebody if they know workid,subworkid how to get instructions,it has some details as well,if you care to look.https://knowledge.opentext.com/knowledge/llisapi.dll?func=ll&objId=18041350&objAction=downloadI am sure Lindsay has a better answer for you.Also the workflow attchments is found in dtree so that would be worth checking as well.

Are you referring to a Livelink project, or using the term project more loosely in terms of a folder containing all material for an on-going project? When you say "document name associated with the workflow", was the workflow initiated from a document, or, is the document simply an attachment within the workflow's attachments folder?

Are all the workflows initiated using a single workflow map, or are there different workflow maps involved? Is the workflow map (or, are the workflow maps if more than one) resident within the project workspace(s)? Often times, I use the "Status" function on the workflow map to get a list of all workflow instances initiated for that map.

Hi, There appears to be multiple workflow maps. I am not sure if they are resident within the project workspaces. Perhaps I need to read more about how workflows work since I don't have an understanding of workflows. I am working on querying the database, but don't know how to create workflows or how they work within the ECM itself. Would it be helpful for me to have this basic understanding? I saw a couple of pdf guides in this knowledge center yesterday, but didn't get a chance to look them over. Thanks, Josephine

I highly recommend getting acquainted with basic workflow functionality, as the schema for workflows is complex; here are just some of the tables involved.

When you initiate a workflow:

• Livelink populates WMap and WMapTask with an expanded definition of the workflow map, taken from its coded format in the BLOBData table or external file storage area.

• WWork is initially populated with basic information like the date the workflow was initiated, the work title and the ID of the manager. As the workflow progresses, status information is updated in this table. Work_WorkID is the primary key for the table.

• WSubWork stores information about subworkflows including their titles, due dates, date completed and status. Because of the table structure, every workflow is considered to be a main workflow with at least one sub-workflow. Livelink updates this table’s records to keep track of the overall status and progression of the workflow.

• WSubWorkTask stores info for each task in a workflow and its subworkflows. The task records are updated as the workflow progresses to note when and whether they were "ready", "in progress", "completed", etc.

There are other tables as well. For example:

• WData - stores on record for each type of work package data that is being circulated by the Workflow.

• WFAttrData - stores attribute data for workflows

• WFAttrDataVersions - stores a copy of Workflow attributes data when a step is completed

• WFComments - stores the comments for a workflow

• WFDispositions - stores the step dispositions for a workflow (such as "Accept", "Reject", etc.)

• WFForms - stores the Forms attached to a Workflow

• WFFormsVersions - stores a copy of the Forms data attached to a Workflow when a step is completed

• WIndexNotify - stores the data that informs a Workflow of the items that should be indexed for searching

• WLock - stores soft locks against workflow tables

• WWorkACL - stores Access Control List (ACL) permissions for Workflow managers

• WWorkAudit - stores Workflow audit information
