Deleting or Purging SAP Archive File from OpenText Archive Server

Hi there,

We're using OpenText Archive Server to Archive Files from both SAP CRM and S/4 HANA. Based on the privacy act standards, we need to delete Archive Files which are older than a certain period/date to achieve the compliance.

Does OpenText offer some out of box solution, if not what's the practice around deleting such files? Thanks

  • OT has a very sturdy RM Product baked into OTCS, other than that OTAS allows deletion as well.

    RM cannot be put without proper analysis and work

  • Sharing the learning and the solution that we've found.

    Talking to both OpenText and SAP we found that the leading system i.e. SAP will initiate the purging event. Further, SAP has recommended following steps to purge the data from both Content Server as well as Admin data saved in SAP.

    Step 1: Deleting ADK files from SAP Content Server

    First is to run the mentioned report in SAP KBA 0003404044 to remove the data from the archive server (this report may have to be run multiple times depending on the amount of archive files to be removed).

    Step 2: Removing the related administration data from SAP: Second to remove the related administration data from SARA using use BC_ARCHIVE. Please see SAP Help and KBA '0001796922 - How to mark archive sessions for deletion by the BC_ARCHIVE object'

    Note: Or the other option that's been mentioned, however not able to validate is - the possibility in OpenText to delete the data directly from the Archive server this should be used once you know what is the Archive ID of data stored to the OpenText Archive server. Please check with OpenText support or with the Admin for your OpenText archive server if a bulk delete of the data can be done at server level, it is not possible to carry such a bulk deletion with SAP.
